Field & closeout
Schedule, daily logs, owner selections, allowances, punch list, and meeting minutes.
Build the schedule
A native Gantt with cost-code-grouped tasks, dependencies, and live impact chips.
- Open ScheduleProject sidebar → Schedule. Tasks are grouped by cost code with bars sized to planned duration; critical-path tasks are flagged in red.
- Click Add taskPick the cost code (which sets the group), name the task, set planned start and finish, and optionally set dependencies.
- Tag the commitmentLinking a task to a commitment ties it to that sub — they see it on their portal and slip pressure surfaces in the commitment drawer.
- Watch impact chips appearAs RFIs, submittals, and change events link to a task, chips appear on the Gantt bar so the team can click straight to whatever threatens the date.
- Publish a baselineClick Publish to lock the current plan. From then on, actual-versus-planned variance shows as red against your baseline.

Log a daily report
Capture what happened on site each day — crews, weather, deliveries, visitors, photos.
- Open Daily LogProject sidebar → Daily Log. Each row is a day with crew counts, weather, and notes.
- Click New log entryThe date defaults to today. Pick weather, log crew counts per trade, and note deliveries and visitors.
- Attach photosDrop site photos right into the log. Each is tagged to today and joins the project’s chronological photo album for closeout.
- Save with audit integrityThe entry stays editable through the day. Once the day rolls over, edits require an admin override — protecting the record if it is ever subpoenaed.

Owner selections
Track owner product choices — designer proposes, owner confirms, purchaser orders.
- Open SelectionsProject sidebar → Selections. Every product decision the owner needs to make, grouped by where it sits in the flow.
- Click New selectionTitle, category (e.g. plumbing fixtures), required-by milestone (rough-in, finish), and the linked allowance.
- Add optionsFor each option: vendor, product, SKU, price, lead time, photo, spec sheet. Published options appear on the owner portal as a side-by-side comparison.
- Owner confirmsThe owner picks from their portal. Status moves to Confirmed with a timestamp, and the variance against the allowance flows back into the budget.
- Purchaser ordersWhen the order is placed, mark Ordered — closing the loop and feeding lead time into the schedule.
Allowances
Carry a scope whose actual cost is not known yet — variance flows into change events automatically.
- Open AllowancesProject sidebar → Allowances. Each row shows allowance amount vs. actual vs. variance.
- Click New allowanceDescription, allowance amount, and category. Optionally link a cost code and the selection that drives the spend.
- Track actualsAs selections confirm and commitments execute against the allowance, the Actual column updates — green when under, red when over.
- Convert variance to a change eventWhen the variance is final, click Convert overrun to CE and a pre-populated change event is queued for owner approval.
Punch list
Track deficiencies through closeout with a two-step verification flow.
- Open Punch ListProject sidebar → Punch List. Items show by trade, status, due date, and who is responsible.
- Click New itemWrite a clear title, pick the trade, set a due date, and assign the responsible sub or super.
- Sub marks Ready to closeWhen the work is done, the sub or super flips the item to Ready to Close, which routes it to the verifier.
- Owner verifiesThe verifier walks the site and either accepts (the item closes) or rejects with a reason. Rejected items bounce back to the sub with the reason captured.
- Track closeout progressSummary cards track open, ready, and closed. When everything closes, you have what you need to claim substantial completion.

Meetings and minutes
Run weekly OAC meetings with structured topics, action items, and recording links.
- Open MeetingsProject sidebar → Meetings. The list shows scheduled and published meetings with attendee and action-item counts.
- Click New meetingTitle, date and time, location or Zoom, and category (OAC, sub coordination, owner walk).
- Build the agendaAdd topics and, under each, the items to discuss. This same structure becomes the minutes when you publish.
- Take the meetingMark each item Ongoing, Closed, or Carry Forward, and add action items inline with an owner and due date.
- Publish minutesPublishing emails the formatted minutes to your distribution list, with the Zoom recording link attached if connected.
